Teatime Club Registration

WOODFORD GREEN PREPARATORY SCHOOL TEATIME CLUB REGISTRATION 

Terms and Conditions relating to Woodford Green Preparatory School Afterschool Provision (also referred to as Teatime Club).

Parents/carers who complete the online registration form are agreeing to these terms and conditions.  Registration forms must be completed in full before your child can be allocated a place. This includes accepting these terms and conditions.

The Club’s policies and procedures reflect the school policies and procedures and parents can read the extended School’s policies and procedures on the School Website.

Teatime Club aims to provide a stimulating and creative atmosphere for your children with the emphasis being on play. We provide safe, high-quality childcare with regard to levels of staffing and health and safety of premises. This Club provides a quality care service where every child is respected as an individual. We feel strongly that the needs of the child should be the primary focus of the Club.

Sibling Club (EYFS and Years 1 & 2) is run between 3pm – 3.30pm. Sibling Club is only available for children with older siblings in Years 3 – 6.  Children who are only attending the Sibling Club are to be picked up at 3.30pm promptly from the Foundation One entrance (East Door). 

Any child not collected at 3.30pm will have to attend Teatime Club (if there is availability; if not, your child will be supervised by a member of the Senior Leadership Team and for this service we will charge £6.00 per 15 minutes).

If an adult is collecting who is not a ‘named adult’ we do ask that you inform the school so that your child can be released.

Teatime Club is open for any child at WGPS in Years 1 to 6 (a separate EYFS teatime club is also available) and takes place in the Hall. Occasionally due to concerts or other events, the Teatime Club will be moved to a Classroom. Parents/carers must use the Foundation One entrance (East Door) for collection and ring the bell when they arrive at the door.

Teatime Club starts at 3.30pm when the children are taken to the Hall by a member of staff. Teatime Club is divided into three sessions: the first two sessions run from 3.30pm – 4.30pm and 4.30pm -5.30pm. The cost of each of these sessions is £6.00.  A third session from 5.30pm to 6.00pm runs on Mondays to Thursdays only and the cost for this session is £3.00.

A late collection charge is applied when a parent picks up their child late (after 6pm or after 5.30 on Fridays). This is £15.00 per fifteen minutes or part thereof. Please ensure that you have emergency systems in place in case of unforeseen circumstances and that you contact Teatime Club if there has been any emergency. Please either telephone the School Reception which is manned until 5pm every night, or after 5pm please call 0208 506 5196 (please note, this number is only to be used after 5pm).

Places are allocated in the order that Registration Forms are received. Parents who make late or ad-hoc bookings will only be notified if their child cannot be accommodated .

There will always be a WGPS staff member present who has undertaken appropriate First Aid Training. There is a very well stocked first aid box available to all staff. In addition, all staff have received appropriate training on how to deal with and record accidents and emergencies. If your child has had an accident whilst at Sibling/Teatime Club, it will be recorded on our green forms and passed on to the School Nurse the next day. You will be informed that evening of any accidents.

Parents/carers must ensure that all details on the registration form are accurate and up-to-date. Any changes must be made in writing to teatime@wgprep.co.uk 

We would also ask that you keep Teatime Club records up-to-date by noting any changes to medicines, allergies or medical conditions that are stated on your child’s Registration Form.

 

Staff encourage positive behaviour through praise and appreciation of children’s achievements. The principles outlined in the Woodford Green Preparatory School Behaviour Policy are adhered to in both Sibling and Teatime clubs.

Appropriate sanctions will be applied where children do not adhere to instructions from the staff. For example, they will be given time out from activities and then parents informed (verbally and written where appropriate).

We aim to deal with all complaints by mutual agreement within the Club; please discuss any concerns first with the staff on duty.  Should you feel that your complaint has not been adequately dealt with, or is of a particularly serious or sensitive nature, you should follow the Complaints Procedure as outlined on our School Website.

Tea (sandwiches, fruit, biscuit/cake with squash/water) will be served between 3.30- 4.30pm.

The Teatime Club will not run on days or half days when the School is closed to pupils. If your child is unable to attend a pre-booked session, you must notify the School via teatime@wgprep.co.uk

If your child is absent from school you must, when phoning the school, mention that they will also be absent from Teatime Club.

At the time of booking you will be prompted to select specific days/dates which you would like your child to attend. If your child is unable to attend for any reason you will not be entitled to a refund.

All Teatime Club sessions (including pre-booked, late bookings and sessions booked due to unforeseen circumstances) will be added to your termly invoice.
